- The full street address, so the contractor can check access, the road edge and who controls the apron.
- Whether the job is a home driveway, a church or business lot, an apartment drive or something else.
- Rough size, even an estimate in car lengths or how many vehicles park there.
- What you notice: cracking, potholes, low spots, puddles after rain, fading, or bare gravel and dirt.
- Two to four photos taken in daylight, one wide shot and a few close-ups of the worst areas.
- Any timing that matters, such as a closing date, an event or a tenant move-in.
- Anything unusual about the site: a steep grade, a ditch or culvert at the road, tree roots, or a gate that limits truck access.
